Guardian of Safe Working Hours

GoSWH will aim to attend any Trust Induction to brief the joining Doctors in Training about the Exception Reporting process at UHCW NHS Trust and other New Junior Doctor Contract-related issues. As the time slot allocated at Trust Induction is usually too short to have a complete brief about this you could contact the GoSWH via email guardian@uhcw.nhs.uk to receive a more detailed powerpoint presentation.

UHCW NHS Trust uses the Allocate Software Exception Reporting platform for which login credentials are needed. These will be emailed to the joining Doctor's Trust e-mail account on their first day. If these credentials have not been received then please contact MedicalWorkforceTeam@uhcw.nhs.uk to receive new login credentials. Any deviation from the agreed individual work schedule (this is a combined timetable of clinical duties and agreed educational needs) should be submitted as an exception report (ER). The absolute deadline in any exception event is 14 days. Any ER submitted after that will be void. Once an ER has been submitted an initial review meeting has to take place within 7 days (contractual obligation). The attendees of that initial review meeting are usually the Doctor in Training and their UHCW educational or clinical supervisor but may include more people. At this initial review meeting an agreed outcome should be reached and logged into Allocate. The Doctor in Training needs to sign-in again into their ER to formally agree or disagree.

Both parties are obliged to find a suitable time to facilitate this initial review meeting within 7 days. If the supervisor fails to engage with this process then the GoSWH will review the ER and usually awards standard payment for the claimed time. This payment should be received during the next available payroll.

UHCW NHS Trust has an obligation to provide appropriate resting facilities on request or in the absence of those to pay for a taxi home. Any request should be made to jayne.sanderson@uhcw.nhs.uk during normal weekday working hours or to the General Duty Manager at all other times. Do not organise your own accommodation or transport as you may not be reimbursed for this!
